These terms and conditions apply to every quotation, contract and instruction accepted from Soluna Systeam Ltd trading as Soluna London Flooring. By accepting our quotation, the client agrees to these terms in full.

Pricing & Payment

Quotations, pricing and payment

How our prices are set, how long they last, and what happens if invoices are not paid on time.

  1. All prices quoted are exclusive of VAT. VAT will be added at the prevailing statutory rate on every invoice unless the client provides written confirmation of VAT-exempt status.
  2. Prices are NET of M.C.D (Materials, Components & Delivery discount) unless otherwise stated in writing on the quotation.
  3. Prices are fixed for 3 months only from the date of quotation. After that period, all material prices will be subject to manufacturer increases and the quotation must be re-issued.
    • Payment terms are 28 days from month end unless otherwise stated in writing. When working with a new client, it will be at the discretion of Soluna Systeam Ltd as to whether a deposit is required before commencement of work on site. Subsequent contracts may also be subject to the payment of a deposit.
  4. If you fail to pay us on the agreed date, we may (without limitation) take the following actions:
    • Charge you interest at the rate set under S.6 of the Late Payment of Commercial Debts (Interest) Act 1998.
    • Calculated on a daily basis from the date of our invoice until payment is received in full.
    • Compounded on the first day of each month.
    • Applied before and after judgement (unless a court orders otherwise).
    • Claim fixed-sum compensation from you under S.5A of that Act to cover our credit-control overhead cost.
    • Recover (under clause 5.8) the cost of taking legal action to make you pay, including solicitor's fees and court costs.
Sub-floor & Site

Sub-floor preparation, screeds and site conditions

Technical conditions for installation — covering screeds, latex, working hours and the heating requirement in winter months.

  1. We recommend that any sub-floor consisting of sand/cement screed should always be prepared with a minimum 3mm latex application before floor coverings are installed.
  2. Please note: latex screed provides a smoothing compound that follows the contours of the sub-floor; it is not a levelling compound.
  3. Costs given are for continuous working during normal hours (Mon–Fri, 8am–5pm). Work outside these hours, at weekends or on bank holidays will be subject to overtime or premium-rate uplift.
  4. Costs are subject to verification of site re-measure where applicable. A re-measure may result in a revised quotation before commencement of installation.
Variations & Extras

Day works, materials, plant and scope changes

How additional labour, materials and changes to the agreed scope are charged.

  1. Trimming of doors is excluded unless otherwise arranged and agreed in writing.
  2. Day works are to be charged at £600 per man, per day as required (or pro-rata for part-days).
  3. Additional materials and/or plant will be charged at trade + 20%.
  4. During the winter months, it is essential that the heating system is operational before any installation. Failure to ensure this may cause irreparable damage to the floor covering, for which Soluna Systeam Ltd cannot accept any responsibility.
  5. Our quotation includes for the work as detailed only. Any changes or additions to the description will be charged accordingly and may require a revised programme.
Site & Liability

Client responsibilities, site clearance and damage

What the client is responsible for before, during and after installation — including clearing areas, moving heavy items and re-routing cables.

  1. Our quotation is based on cleared areas only unless stated. Although we will be pleased to help with or around heavy objects, this must be a prior arrangement; otherwise, a further labour charge may be made. Soluna Systeam Ltd accepts no responsibility for damage to property not moved, or whilst being moved.
  2. The Client is responsible for re-routing all cables, wires etc. that may run across the sub-floor before installation of the new floor covering. If this prevents an installation proceeding on a booked installation date, this could incur a cancellation charge or waiting-time charge. Soluna Systeam Ltd accepts no responsibility for damage to wires or cables during installation.
  3. Should the need occur to return items due to cancellation of work by the aforementioned client, the manufacturer's Terms and Conditions supersede the Terms and Conditions of Soluna Systeam Limited.
